5 Quick Tips for Using QuickBooks Online

If you use QuickBooks, you may have heard that Intuit is making an effort to get users to move from QuickBooks Desktop to QuickBooks Online (QBO). The online version offers many attractive features. With that in mind, here are 5 tips for getting the most out of QBO.

1)   Go Chrome

QBO functions best with the Chrome browser. You can download it for either Mac or Windows. If you don’t want to use Chrome, you can still use QBO with Microsoft Internet Edge or Mac’s Safari. 

If you do opt for Chrome, you’ll be able to tap into three helpful features:

  1. Bookmarks: Turn on the bookmarks bar and bookmark an area of QBO. Once you do, you’ll be taken right to that area, even after you open a different QBO file. If you run more than one company, you’ll find this convenient when you need to switch back and forth.
  2. Duplicate Screen Tabs: Right-click to choose Duplicate if you want to open another tab with the same information you already opened. This is great if you wanted to view the P&L statement and balance sheet in two different tabs. You’ll be able to move the tabs to different screens to work on multiple areas of the file at the same time.
  3. Open Different Tabs: Right-click on Action (either in Gear or Left Bar) to open a new tab instead of just duplicating tab to go directly to different screens.
2)   Split It

Want to split your screen? Just press the Windows screen and the right arrow for which screen you want on the right side and the left arrow for what you want on the left side. You can also reverse the split screen with the Windows up and down arrows.

3)   Keyboard Shortcuts

Simply type Ctrl+Alt+/.

Use these date shortcuts when typing a date:

w = first day of the week

k = last day of the week

m = first day of the month

h = last day of the month

y = first day of the year

r = last day of the year

4)   Transfer Docs Securely

You can use QBO attachments to securely send confidential documents such as bank statements and W-9s. It’s secure because there are no additional portals. Just attach a document to a vendor’s detail page.

Step 1 – Upload Attachments:  QBO Gear Icon > Select Attachments > Import

Step 2 – Export Zip Attachments: Check-mark the desired file and Export Zip

Step 3 – Download Attachments: In the desired file row, select Download

5)   Zoom In. Zoom Out.

Use Control+ to zoom in and Control? to zoom out. By holding down the keys continuously you can zoom in and out quickly.

Don’t forget to regularly clear your cookies and cache to ensure QuickBooks Online works at its optimal capacity. Do this in Chrome by clicking on the menu icon in the upper right corner and then Tools and Clear.
